The Challenge
Greenfield Academy operated for over a decade with manual administration systems. Paper attendance ledgers resulted in frequent errors, and tracking student attendance took teachers up to 15 minutes per class. Most critically, fee management was completely manual: writing paper receipts, hand-checking bank accounts, and chasing fee defaults by calling parents individually. This led to serious operational overhead, slow collections, and significant revenue leakage.
Our Custom Solution
We deployed AttendFee, our custom institute management software, customized for Greenfield Academy's multi-tier fee structures. The solution integrated real-time student attendance with biometric terminals, automatically alerting parents via automated WhatsApp APIs when a student checks in or is absent. The finance backend now generates monthly automated fee challans with online payment gateway support (Easypaisa/JazzCash) and executes automatic late fee calculations and reminders for overdue balances.
The Outcome & Impact
The results were immediate and transformative. Fee collections grew by 34% in the first three months due to automated dunning notifications and simple digital payments. Administrative overhead was slashed: leave requests, attendance reports, and payroll ledger creation are now fully digital, saving the administrative staff 70% of their manual workload.
