The Challenge
Apex Distribution operated across 5 physical warehouses and branches, managing thousands of stock-keeping units (SKUs). Because each branch maintained its own spreadsheet-based inventory ledger, central management could never get an accurate view of stock levels. Stockouts were common, branches frequently placed duplicate purchase orders, and reconciling monthly sales data and invoices took up to two full days of work per branch.
Our Custom Solution
SystemGrid developed a tailored, web-based central ERP system. The platform unifies inventory modules across all 5 branches in real-time, integrating stock checks, internal transfer requests, and automated dispatch controls. We implemented a smart purchase order module that triggers purchase requests based on inventory reorder levels. Invoices are automatically generated and linked with POS sales transactions, sync'd instantly with central financial ledgers.
The Outcome & Impact
With real-time sync, overall stock accuracy surged to 98%, virtually eliminating unexpected stockouts. Invoice reconciliation and processing time was reduced from 2 days to instant same-day reporting. Management now views unified sales metrics, cash flow, and stock levels across all branches in a single dashboard, allowing them to make fast, data-driven procurement decisions.
